About the Boot Camp

This one day intensive “boot camp” was designed to help you make the business case to transform manual office work into a digital space – while integrating compliance and industry best practices at the same time!

Most agencies dislike being bogged down by manual paper processes and information silos. However, once the agency decides to go digital, it usually has no idea where to begin. The FreeDoc ® ECM Boot Camp℠ gives the knowledge and skills needed to tackle decades old problems of managing information by doing it methodically!

Session 1: Terms of Engagement

There are similar but different “terms” commonly used in RIM and IT which are defined differently by both fields. Often you might use the same word, but are NOT talking about the same thing. And how about metadata?

Many definitions and what constitutes “good” metadata vs. “bad” metadata. Participants will “come to terms”, and come away with tips and strategies to develop “good” metadata.

Session 2: The How’s and Why’s – Doing Business Assessments

Doing recon of the environment is critical – knowing how things are and why is necessary to planning to accommodate agency operations.

A business assessment is a tool to document daily processes that support the agency mission and capture the “current state of being”. It provides the groundwork for planning and strategizing.

Participants learn how to conduct a business assessment, the questions to ask and information to gather.

Session 3: Systems Assessment

Similar to an business assessment, a systems assessment of agency technology is critical to making an informed decision. This assessment captures the current state of software / hardware use, licensing / maintenance costs and volumes of electronic storage. It can be an eye-opening experience!

Participants learn questions to ask and where to look for “chinks in the armor”. Help your agency make informed choices for future technology choices and/or improvements to existing systems.

Session 4: Rules of Engagement

To successfully manage agency information, you must know your records. You must know the rules and requirements.

Agencies do have OTHER legal and regulatory rules they are to abide by that are in addition to retention and disposition requirements.

Knowing the requirements and specific “rules of engagement” helps determine compliance issues and avoid the crosshairs of legal action.

Session 5: Now What? Making the Case for Commitment and Getting to “GO”

Getting buy-in for the vision of automation in a digital government is a challenge – money, time and the sheer will-to-do-it may seem in short supply. Even with full support from executives, there are still hurdles to leap over and objections to overcome.

This session features the “myth-busters” with helpful tips and strategies to help participants create commitments to stay the course!

Session 6: It Ain’t Pretty – Rip Off the Band-Aid, Clean Up the Junkyard

Even before you THINK about pushing the “GO” button, CLEAN UP THE JUNK! You don’t want to move a mess into a beautiful new home!

Much time gets lost because your staff are simply looking for information amidst the ‘pile’. It’s the VOLUME of information that distracts our focus away from seeing and finding what is of value.

This session offers some helpful tips and strategies to make the clean-up process less burdensome. Attendees learn strategies on “defensible disposition”, and how to take advantage of the LEGAL authority to get rid of the ROT!

Final Session: You Can See It From Here: Victory!

Here’s where we take all the pieces and map a road to Victory. There are a lot of moving parts. It may seem like a long slog with many detours along the way.

A key question is ‘what’ to do ‘when’, which process can begin to save time, reduce expense and increase staff participation and excitement.

In this session, participants learn how to map out work processes and then how to leverage data from previous steps and assessments to get on, and stay on the path to victory!

  • Public Records Manager, WA State Department of Ecology, 2002 – 2006

Formerly an Electronic Records Management Consultant for the Washington State Archives/Records Management program (2006 – 2017), Ms. Turner’s work included the development of training on the public records requirements for records and information management.  She also participated in the research to update the processes allowing statewide use of “scanning and tossing” protocols.

Ms. Turner has been deeply involved with development of numerous retention schedules for state and local government.  She was the lead team representative from the Washington State Archives to develop the statewide Information Governance (IG) and Enterprise Content Management (ECM) Initiatives. This resulted in the award of statewide Master Contracts for ECM Software Systems.

Prior to her work at the Archives, Ms. Turner was a public disclosure coordinator for the Department of Ecology, processing and fulfilling upwards of 150 public records requests per month (over 7,000 requests in total from across 12 Western Washington counties). Ms. Turner has also presented as a RIM subject matter expert at many state, regional and national conferences.

At FreeDoc ® Consulting, Ms. Turner leads training of best practices for use of Records and Information Management within ECM systems. Known as an energetic and entertaining instructor, course attendees are sure to be on the edge of their seat throughout this one-day course.
