About the Boot Camp

This two-day “boot camp” was designed to help you make the business case to transform manual office work into a digital space – while integrating compliance and industry best practices at the same time!

Most agencies dislike being bogged down by manual paper processes and information silos. However, once an agency decides to go digital, it usually has no idea where to begin. The FreeDoc ® ECM Boot Camp℠ gives the knowledge and skills needed to tackle decades old problems of managing information by doing it methodically!

The ECM Boot Camp provides attendees with a proven, repeatable and scalable process able to change the way agencies think about information management.

Agenda

Each Session is 55-Minutes Long
Session 1: Terms of Engagement
Complete glossary and definition of common terms in use by RIM professionals. This is going to include what constitutes “good” metadata vs. “bad” metadata. Participants will come away with tips and strategies to develop “good” metadata.
Also, included is a list with definitions of “terms” commonly used in both RIM and IT, but are defined differently, with very different meanings, uses and applications. Understanding the meaning of terms from a different perspective is vital for accurate communications and cross-departmental collaboration.
Session 2: The How’s and Why’s – Doing Business Assessments
Understanding the existing agency operations is necessary before planning how to accommodate current agency operations, and make way for process improvements.
Use of a Business Assessment as a tool to document daily processes in support the agency mission is the best method to capture the “current state of being”. This provides the base level groundwork for planning and strategizing.
Participants learn how to conduct a business assessment, what questions to ask and information to gather.
Session 3: Systems Assessment
Similar to a business assessment, assessment of current technology and applications is needed to make quality decisions. This tool captures the current state of software applications / hardware usage / maintenance costs and volumes of electronic storage.
Participants learn what questions to ask and where to look for opportunities to help their agency make informed choices for future technology upgrades and/or improvements to existing systems.
Session 4: Rules of Engagement
This session focuses on the legal and regulatory rules in addition to retention and disposition requirements.
Session 5: Now What? Making the Case for Commitment and Getting to “GO”
Getting buy-in for the vision of automation in a digital government is a challenge – money, time and the sheer will-to-do-it may seem in short supply. Even with full support from executives, there are still hurdles to leap over and objections to overcome.

This session features the “myth-busters” with helpful tips and strategies to help participants create commitments to stay the course!

Session 6A: Clean Up
This session offers some helpful tips and strategies for “defensible disposition” using LEGAL authority to reduce redundant, outdated, and duplicated information.
Session 6B: Planning
A key question is “what” to do “when”, which process can begin to save time, reduce expense and increase staff participation and excitement. Participants learn how to map work processes and to leverage data gathered from previous steps for use in planning.

  • Public Records Manager, WA State Department of Ecology, 2002 – 2006

Formerly an Electronic Records Management Consultant for the Washington State Archives/Records Management program (2006 – 2017), Ms. Turner’s work included the development of training on the public records requirements for records and information management.  She also participated in the research to update the processes allowing statewide use of “scanning and tossing” protocols.

Ms. Turner has been deeply involved with development of numerous retention schedules for state and local government.  She was the lead team representative from the Washington State Archives to develop the statewide Information Governance (IG) and Enterprise Content Management (ECM) Initiatives. This resulted in the award of statewide Master Contracts for ECM Software Systems.

Prior to her work at the Archives, Ms. Turner was a public disclosure coordinator for the Department of Ecology, processing and fulfilling upwards of 150 public records requests per month (over 7,000 requests in total from across 12 Western Washington counties). Ms. Turner has also presented as a RIM subject matter expert at many state, regional and national conferences.
