Our Process
We work with you. Each project begins by understanding the records, data systems, and your organizational structure. We support the business process behind the records. Together, we develop a clear vision of the end results.
The future end-state of the document moves from the file cabinet to an electronic file library of some sort. It might be an ECM. It might be SharePoint, Office 365, or the Windows DIR.
As a best practice, a records search should be done the same way, whether past or future. Learn how past records were filed by geographic location. This can be captured in the character of the document. Going forward this changes. We help you make the digital conversion. We explain how.
From there, the process is documented & tested. We develop the internal workflows to efficiently convert the records to their final form.

During indexing, advanced data extraction technology is utilized to pull metadata off pages automatically, and manual indexing serves as a backup in specialty cases.
Data Quality Assurance
Each record then goes through another quality assurance stage, this time to ensure accurate and complete metadata is attached to each record.
Prior to migration, records may be run through optical character recognition to enable full-text content search.
Migration
In migration, each record is uploaded in its complete form to the system specified by the customer.
Records are loaded directly from our records processing software, ensuring quick and complete records delivery.
